Retail Facilities Coordinator maintains the Facility program for Store Development and Retail teams and field. The Retail Facilities Coordinator serves as the primary operational contact for the field teams, in addition to assisting with new store openings closings and remodels. Works with cross functional teams to create processes and procedures that support business and operations.
Essential Job Responsibilities:
Operational Communication –
- Responsible for working with the retail field teams on store repairs and preventative maintenance issues and concerns.
- Maintain R & M budgets for stores and company. Review all proposals and emergency repairs and escalate as needed.
- React immediately to all store issues that are identified by cross functional teams; aid in the creation, communication, execution and follow up of effective action plans and manage continued tracking to ensure deadlines are met
- Be available for store emergencies which may fall outside of normal business concerns.
Assistance with Communication Tools –
- Update the and maintain the repair system website for all current store details and information
- Manage shipping accounts for field teams with store maintenance for location accuracy
- Keep store list up to date and send information out to cross-functional partners when changes and updates occur
Contributing to Retail Projects –
- Assist with the store openings with supplies, store set up in repair system and contribute to aligning logistics with calendars, partnering with the HR & Training teams to create organizational materials needed for distribution as needed for news staff
- Act as liaison with IT team to work on issues outside of the repair and maintenance program, as well as Loss preventions initiatives
- Aid in the preparation, execution and communication around special Retail events
- Assist as needed with ad hoc projects with all key stake holders
Retail Maintenance and Repairs –
- Manage repair and maintenance process: approve requests, complete tickets for external vendors and follow up to ensure jobs are completed
- Budget tracking and accountability for repair and maintenance
- Monthly PO & budget reconciliation
Support Retail Invoices –
- Reconcile EOM Retail Store repairs and outstanding proposals
- Assist with Retail invoicing (division credit card reconciliation, invoices for supplies, services and utilities) by defining the budget and challenging services, identifying areas of possible cost savings, suggesting improvements to ensure we stay in line with said budget
Maintain and Update Policy and Procedures for Retail –
- Provide quarterly and ad hoc updates to the Policy & Procedure and CBR (POS Software) manuals to ensure that best practices are documented and that they align with communication and directives
- Rewrite Lacoste operational policies as needed, and distributes guidelines to stores
- This includes the operations manual, promotional directives, incentives and frequent e-mail and telephone communications
Perfil
Requirements/Qualifications:
- Strong retail experience with demonstrated understanding of the business from an execution point of view is required
- Needs to have corporate experience – either retail operations, or similar facilites management experience in retail
- Excellent communications skills, verbal and written
- Demonstrated excellence with facilities management is required; experience with budgeting/financial management is preferred
- Display a friendly positive attitude towards fellow associates and others – this position will have frequent interaction with all stores and corporate departments
- Capability to build and maintain relationships with all corporate support functions
- Knowledge of MS Office – Word, PowerPoint, Excel proficiency required
- Excellent organization and problem skills
- Excellent problem-solving skills with a high level of accuracy
- Extremely detail and service oriented
- Proficiency with Service Channel Facility Management System
